Job Description
Executive Personal Assistant to Athlete (JLR)
️ Scheduling & Calendar Management
• Structure and maintain the athlete’s daily, weekly, and monthly calendar.
• Update schedules in real time to reflect practices, meetings, events, and appearances.
• Schedule appointments (training, medical, business, personal) and send reminders.
• Coordinate travel, lodging, and transportation logistics for games and off-season trips.
• Ensure time blocks for recovery, media, and personal commitments are balanced efficiently.
Communication & Administrative Support
• Clean, organize, and manage the athlete’s email inbox, voicemails, and text communications.
• Answer and return calls from agents, coaches, and brand representatives in a professional manner.
• Draft, proofread, and send correspondence on the athlete’s behalf.
• Maintain confidentiality and
professionalism across all communications.
• Track and follow up on NIL contracts, sponsorships, and partnership deliverables.
Agent & Business Coordination
• Serve as the primary liaison between the athlete, agents, and management teams.
• Schedule and confirm calls or meetings with agents, sponsors, and media contacts.
• Keep records of conversations, decisions, and key follow-up items.
• Assist with contract document organization and renewal reminders.
Financial & Record Management
• Assist with expense logging and receipt tracking for reimbursements and tax purposes.
• Help organize financial statements, NIL deal invoices, and monthly budgets.
• Coordinate with accountant or financial advisor as needed.
️♂️ Personal Errands & Lifestyle Support
• Run errands that the athlete is unable to do due to training or travel.
• Coordinate deliveries, appointments, and home maintenance services.
• Manage personal shopping, wardrobe, and travel essentials.
• Ensure all day-to-day needs are handled efficiently to support peak performance and focus.
Organization & Efficiency
• Create efficient systems for scheduling, document filing, and communication tracking.
• Proactively anticipate upcoming needs and prepare accordingly.
• Support a smooth daily routine to allow the athlete to focus on performance and recovery.
