Job Description

An Orlando-based, well-established Stage Lighting company seeks a highly organized and detail-oriented Personal Executive Assistant to support the company’s founder. This is a fast-paced and exciting opportunity to work with a dynamic individual in a rapidly growing company with locations in four countries

The PA’s mission will be to support the founder and his close collaborators in their professional and personal lives and accompany them on their professional trips abroad.

Responsibilities

  1. Plans and oversees various personal events.
  2. Provides support for personal and domestic needs.
  3. Provides comprehensive time-saving support.
  4. Assists with personal property management.

1. Plans and oversees various personal events by:

  • Organizing personal dinners and events held at the CEO’s house.
  • Booking restaurants when needed.
  • Organizing catering when required.
  • Tracking attendee acceptance and sending reminders.
  • Managing PA team to ensure set-up tasks are completed before, during, and after events

2. Provides support for personal and domestic needs by:

  • Assisting with personal travel as needed.
  • Coordinating CEO luggage and personal belongings for travel purposes
  • Facilitating airport drop-offs and pick-ups as needed.
  • Handling vehicle maintenance while the CEO is on the road.
  • Traveling as needed (approximately 6 times per year, one week each time with an annual three-week trip)

3. Provides comprehensive time-saving support by:

  • Generating a variety of organizational lists in Excel and Word.
  • Running errands on demand.
  • Purchases various items from travel items through to food for the office.
  • Greets and picks up clients and key vendors at the airport.
  • Greets guests at various dinner meetings.
  • Purchases gifts as directed for clients, family, staff, and vendors
  • Overseeing vehicle care, airport parking, and driving the CEO to various meetings.

4. Assists with personal property management by:

  • Interfacing with Christie Lites IT department and managing home automation
  • Assisting the Property Manager with purchases as needed

Essential Professional Attributes for success in this role:

  • Strong work tenure; five to ten years of experience supporting C-Level Executives.
  • Computer skills – MS Office, Excel, Word, OneNote, OneDrive, SharePoint, Zoom, Teams, and Social Media web platforms.
  • Data analysis.
  • Ability to multitask and prioritize.
  • Expert verbal and written communication skills.
  • Creative problem-solving and decision-making skills.
  • Ability to work effectively with minimal supervision.
