POSITION SUMMARY

Under the direction of the Senior Director of Grants, the Grants Manager supports the efficiency of grantmaking processes and team members to evaluate and implement creative solutions to improve post-award administration, compliance, and fiscal management of grants. This role works internally with program staff, operations staff, the Finance team, and externally with grantees and vendors to facilitate deliverables and effective relationships. The ideal candidate is a pro-active, solution-oriented self-starter inspired by EF’s mission and the opportunity to work in a collaborative environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES 
  • Enable execution of the grant cycle from approval to closing, ensuring all compliance and due diligence requirements are met. 
  • High-volume grants processing, including maintaining grantee records and award documents; assessing and/or reviewing data; making improvements to the grantmaking system (Salesforce) where relevant; and managing payments. 
  • Perform audit of grant files for closure, highlighting any issues related to compliance and grant structure and working with interdepartmental teams to resolve any outstanding issues. 
  • Provide front-line support, troubleshooting, and documentation of EF’s grantmaking system. 
  • Work with program teams to provide knowledge and expertise and ensure timely follow-up on past-due grant items. 
  • Facilitate sensitive issues in the grantmaking process; find solutions to issues and communicate both the solution and the rationale behind and impact of the solution to multiple audiences. 
  • Maintain close relationships with program teams; coordinate, edit, and produce fully compliant grant documentation. Develop and facilitate training with program staff. 
  • Solid understanding of field-wide trends and best practices in grants management. 
  • Collaborate with the finance team to reconcile budgets, payments, and payment history. 
  • Conceptualize and develop training materials on grantmaking and philanthropic topics; manage logistics of workshops and training sessions. 
  • Generate and implement ideas for systems, programs, and operational improvement.

QUALIFICATIONS 
  • Demonstrated experience in philanthropy across multiple organizations, preferably of different types (public charity, private foundation, 501[c][4], community foundation, etc.); grants management experience. 
  • Ability to work in a multi-issue, fast-paced environment, with shifting and competing priorities and deadlines; flexibility while maintaining workload is critical.  
  • Ability to interact effectively with potential grant recipients, management, and co-workers, and be willing to participate in a remote team environment. 
  • Ability to work independently and collegially with minimal supervision. 
  • Effective time management skills with the ability to manage multiple deadlines simultaneously in multiple time zones. 
  • Experience in examining and re-engineering operational processes and procedures; assisting with formulating policy; and developing and implementing new systems, strategies, and procedures. 
  • Intermediate or advanced skills using Microsoft Excel, Word, PowerPoint, and Outlook, preferably in a Mac environment; familiarity with Google Drive. 
  • Intermediate or advanced skills in relational database management, including DocuSign, preferably in Salesforce or another grants management system. 
  • Strong problem-resolution and time-management skills. 
  • Ability to read financial documents and reports. 
  • Independent, innovative, and creative thinker who also is a strong team player and assists where needed. 
  • A commitment to contributing meaningfully to a workplace where equity and inclusion are core values. 
INTERDEPENDENCIES WITH OTHER FUNCTIONS 
  • Finance department: assist in troubleshooting payment and other financial issues.  
  • IT department: help remedy cross-system issues.
  • Program team: aid program colleagues in the management of grants. 
SUPERVISION
  • Reports to Senior Director, Grants Management; no direct reports. 
COMPENSATION

This is a full-time position. The target salary for this position is $103,500 for candidates in the San Francisco Bay Area and $94,500 for candidates based in other U.S. locales. EF provides a comprehensive benefits package, including competitive salary, medical, dental, vision, disability, and retirement benefits, and paid time off. 

OTHER REQUIREMENTS

Ability to travel two times a year for four business days at a time.

WORK ENVIRONMENT

This position may be based in any of Energy Foundation’s offices or may work remotely from anywhere in the US. 

The office environments include some shared workspace, some individual offices, and shared kitchen facilities, with moderate noise levels and a collegial atmosphere. On occasion, there are activities or events after work hours.
