Job Description and Responsibilities:

The Finance Manager is responsible for the following essential duties:

  • Developing and overseeing financial policies, procedures, and internal controls to safeguard assets, protect confidential information, and ensure accurate financial reporting;
  • Ensuring compliance with government regulations where appropriate;
  • General accounting and reporting (assumes primary responsibility for and is the chief custodian of the school’s accounting records including receivables, payables, and the chart of accounts);
  • Coordinating with faculty/staff, the Head of School, and Finance Committee to develop the annual operations and reallocated budget; assisting the Finance Committee and Board with long-term strategic financial planning;
  • Monitoring the annual operations budget; providing budget oversight at the macro and line-item levels; communicating key budget information to relevant constituencies;
  • Preparing financial documents for the Head of School and supporting the Head of School as needed;
  • Preparing financial reports periodically and upon request;
  • Performing an ongoing and annual review of Business Office Policies and Procedures;
  • Processing cash receipts and deposits; disbursements; invoicing;
  • Overseeing collections; compassionately working with parents when they encounter financial difficulties that affect tuition and fees payments;
  • Preparing payroll and related deductions and tax transactions for processing by outside payroll service;
  • Managing the Business Office filing system according to records retention and destruction policy, including organizing and scanning cash receipt logs and accounts payable invoices.
  • Coordinating the annual audit; cooperating with the school’s auditors on required schedules, documentation, and other required information;
  • Coordinating with the Director of Operations on various Human Resources tasks, including faculty and staff employment agreements;
  • Participating in the completion of the DASL survey annually;
  • Coordinating with the Finance Committee concerning reserve fund management, cash management, and management of other investments;
  • Coordinating with the Director of Operations on general Risk Management tasks;
  • Coordinating with the Director of Operations and Athletics Director on the business aspects of school athletics;
  • Working with the Communications Coordinator to periodically reconcile the accounting system and the development database and to inform stakeholders of the progress of fundraising campaigns;
  • Coordinating with the school’s staff and parent groups on the business aspects of fundraising activities;
  • Coordinating with the Director of Facilities on the business aspects of managing the school building, including rentals;
  • Coordinating with the Director of Admissions on the creation and preparation of enrollment agreements each school year; coordinating with the Director of Admissions on the business aspects of admissions and tuition assistance;
  • Attending monthly faculty/staff meetings upon request;
  • Understanding the mission, culture, and climate of the school and the wider

educational environment as relates to the position’s essential duties.

Education and Experience:

  • A bachelor’s or advanced degree in accounting
  • Five years of experience in non-profit accounting
  • Previous experience in accounting for schools a plus
  • CPA designation a plus
  • Prior experience with QuickBooks accounting system a plus
  • Prior experience with FACTS tuition management system a plus

  • Office, in person
  • Potential offsite meeting or professional development
  • Some remote work considered

Education and Experience:

  • A bachelor’s or advanced degree in accounting
