We're always on the lookout for talented, passionate people to join us. We are currently seeking an Administrative Specialist that will provide support to executive level staff members. The incumbent is acting with limited supervision, anticipating needs while managing the day-to-day workflow and prioritizing various project, which includes scheduling, contact management, preparing materials for meetings and participating in special projects. You will work independently to identify issues or problems within specific management areas and research issues, coordinate activities on the organization's behalf and prioritize tasks with competing deadlines. As an Administrative Specialist, you will:

  • Prepare and edit communication (e.g., memos, agendas, letters, presentations, etc.) to ensure accuracy and consistency message and deliver is attended.
  • Coordinate the collection of required information for executive leadership in advance of meetings and as required for other purposes to ensure meeting and event objectives are achieved.
  • Receive and handle incoming calls, including providing responses on behalf of executive leadership, relevant messages and information is received in a timely manner and directed appropriately and callers are treated professionally.
  • Build and maintain a network of relationships with internal/external clients and vendor partners to obtain information and assistance as required and to portray a professional office.
  • Handle difficult calls to executive leadership offices to diffuse situation, determine required actions, and follow-up accordingly with appropriate individuals for resolution.
  • Compile and review for accuracy detailed business information (e.g., figures, results, graphs, etc.) to generate reports as needed.
  • Manage schedules and events to ensure priorities and preferences are accounted for, time is allocated appropriately, and the required information is provided.
WORKING CONDITIONS This position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort in a normal office environment. MINIMUM REQUIREMENTS

EDUCATION REQUIREMENTS Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field. EXPERIENCE REQUIREMENTS Three years of administrative experience are required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis. LICENSE REQUIREMENTS None

  • Able to analyze data using excel, schedule meeting (using outlook), writing reports (word), coordinate virtual group discussion and documentation (TEAMs and SharePoint).
  • Excellent verbal communication with a proficiency in written communication that is grammatically correct.
  • Problem solver - able to work with other teams and staff members to effectively reach a viable solution and goal.
  • Flexible attitude - embraces change, hard-working, cost conscious and results driven.
